Terms and Conditions Version 2026-08-08 — archived private-pilot version These terms govern access to the planner.clinic private pilot. By creating a clinic workspace, you confirm that you are authorised to act for the clinic and agree to use the service in accordance with these terms. 1. The service planner.clinic helps clinics prepare patient-friendly treatment-plan documents. The service is an administrative planning tool. It does not provide medical advice, make clinical decisions, confirm suitability for treatment or create an appointment. 2. Your clinical responsibility You remain responsible for every recommendation, price, proposed date and statement shared with a patient. You must complete appropriate consultations, consent processes, assessments and record-keeping outside planner.clinic. 3. Patient information Only enter a patient’s first name. Do not enter surnames, dates of birth, contact details, medical histories, photographs or other identifying or clinical information. Patient names and custom messages are stored temporarily in the browser on the device being used and expire automatically. A pseudonymised copy of each final plan’s treatment structure is retained for one year for clinic-secured recall; generated PDFs are not retained by planner.clinic. Recalling and regenerating a plan creates a new saved copy and code without changing the original. 4. Accounts and security You must provide accurate clinic details, protect login credentials and restrict access to authorised team members. Tell us promptly if you believe an account has been compromised. 5. Acceptable use You must not misuse the service, attempt unauthorised access, interfere with its operation, upload unlawful material or use it in a way that infringes another person’s rights. 6. Pilot availability The pilot may change, experience interruptions or be withdrawn. We may limit or suspend access where reasonably necessary for security, maintenance, legal compliance or misuse. We will take reasonable care in operating the service but do not guarantee uninterrupted or error-free availability. 7. Intellectual property planner.clinic and its software, branding and templates remain the property of their respective owners. Your clinic retains responsibility for and rights in the clinic information you provide. 8. Liability Nothing in these terms excludes liability that cannot lawfully be excluded. Subject to that, planner.clinic is not responsible for clinical decisions, treatment outcomes, appointment availability or losses caused by inaccurate information entered by a clinic. 9. Ending access You may stop using the pilot at any time. We may suspend or end access for material breach, security risk or discontinuation of the pilot. Provisions intended to survive termination, including responsibility and liability provisions, will continue to apply. 10. Governing law These terms are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction, subject to any mandatory rights that apply.
