Terms and Conditions Version 2026-10-11 · Last updated 11 October 2026 These terms govern your clinic’s use of planner.clinic and its Free, Pro and Team plans. Paid plans renew monthly until cancelled. Ordinary cancellation takes effect at the end of the current paid billing period. Your first subscription payment is covered by our 14-day money-back guarantee in section 7. This version incorporates the Clinic Data Processing Agreement (/dpa) (version 2026-10-04.1) when an authorised representative accepts it for the clinic. Existing clinics can review and accept through Clinic agreements (/agreements). Publication alone does not replace your previous agreement or record acceptance; existing terms remain applicable until this version is expressly accepted or a change takes effect in accordance with the applicable notice provisions. 1. Who supplies the service planner.clinic is a trading name of The Curatory Group Limited (company number 16808153), a company registered in England and Wales. Its registered office is Higgison House, 381-383 City Road, London, United Kingdom, EC1V 1NW. This is our registered office, not our customer correspondence address. For support, billing, cancellation, refunds or complaints, email info@planner.clinic (mailto:info@planner.clinic). “We”, “us” and “our” mean The Curatory Group Limited. “You” means the clinic business or practitioner purchasing or using the service for professional purposes. You must be authorised to act for that business. These are business subscription terms; they do not remove any mandatory consumer or other statutory rights if those apply to you. 2. The service and clinical responsibility planner.clinic helps clinics prepare patient-friendly treatment-plan documents. It is an administrative planning tool. It does not provide medical advice, make clinical decisions, confirm suitability for treatment or create an appointment. You remain responsible for every recommendation, price, proposed date and statement shared with a patient, and for appropriate consultations, assessments, consent processes and clinical record-keeping outside planner.clinic. 3. Plans, prices and capacity - Free: £0, one practitioner, one clinic and 10 final treatment plans per monthly allowance period, with planner.clinic branding. - Pro: £10 per month for one practitioner and one clinic, with unlimited final plans and custom branding. - Team: £8 per practitioner per month, with a minimum of two practitioners (£16 per month), one included clinic, unlimited final plans and custom branding. - Additional clinic profiles: £5 per additional clinic per month on Pro or Team, charged once across the subscription. Prices are in pounds sterling (GBP), before any valid discount. We are not VAT registered and do not add VAT. Each person with clinic membership, including an administrator, uses practitioner capacity; the same person is counted once across clinics on the subscription. Pending invitations reserve capacity. Each person must use their own login. Adding people or clinic profiles requires sufficient purchased capacity; it does not authorise an unreviewed extra charge. Your selected plan, quantities, discount and amount payable are shown before you confirm payment. Free accounts do not automatically become paid subscriptions. Your account shows the applicable plan allowance and billing dates. 4. Payment and monthly renewal Paid subscriptions are billed monthly in advance through Stripe. By confirming the subscription payment, you authorise the recurring charges shown at checkout until the subscription is cancelled. The minimum paid commitment is one monthly billing period, subject to the guarantee and any applicable statutory rights. Your renewal date follows the subscription’s billing cycle, not necessarily the first or last day of a calendar month. The subscription owner manages billing and must keep billing and payment details accurate. Use Manage billing in your account to update your payment method, view invoices or cancel renewal. Payment details are collected by Stripe; we do not receive or store your full card number or card security code. Paid access is activated after payment and subscription status are verified. If payment fails or the subscription ceases to qualify for paid access, paid features and additional capacity may be restricted; contact us if you believe this is an error. 5. Changing your plan or quantities The subscription owner can request plan, practitioner and clinic-capacity changes in the app. Before confirmation, we show the proposed recurring price and Stripe’s amount due now, including applicable adjustments for the unused part of the billing period. Changes that require payment may remain pending until payment is resolved. Any resulting billing credit is recorded by Stripe and can be reviewed through billing records; the app’s amount due now may be £0 without showing the credit amount separately. A billing credit is not automatically a cash refund. Before reducing capacity, remove unused memberships or invitations and archive surplus clinic profiles. We do not silently remove your team or delete clinic information to fit a smaller subscription. A scheduled cancellation or loss of paid access may restrict access to the owner and primary clinic under the Free plan. 6. Promotional and discount codes Enter an eligible code in Stripe checkout before confirming your purchase. The offer’s stated eligibility, applicable plans, discount, duration, redemption limit and expiry apply. The checkout total shows whether the code has been accepted. A code’s redeem-by date and the period for which a redeemed discount lasts may differ. When a time-limited discount ends, the subscription renews at the applicable undiscounted price disclosed at purchase, unless you cancel or we have notified you of a price change under section 12. Codes do not change plan capacity or features. They have no cash value, cannot be applied retrospectively and cannot be combined unless the offer expressly permits it. Existing subscribers should contact support about an offer rather than create a duplicate subscription. We may stop future redemptions of an offer, but will honour valid discounts already redeemed in accordance with their stated terms. 7. Cancellation and the 14-day money-back guarantee You can cancel renewal at any time through Manage billing. Ordinary cancellation takes effect at the end of your current paid billing period: access continues for the remainder of that period while the subscription remains paid and active, and no further renewal payment is taken. Cancel before the next renewal is processed. If you cannot access the billing portal, email info@planner.clinic for help. Simply stopping use of the service does not cancel a subscription. For your first purchase of a paid plan, you may request a full refund of your initial subscription payment within 14 calendar days of completing that first purchase. This includes practitioner and additional-clinic capacity bought in that initial payment, and refunds the amount actually paid after discounts. The guarantee applies once per subscribing business; it does not cover later renewals, separate subsequent upgrades or repeat subscriptions. If a promotion reduces the initial payment to £0, the same 14-day period starts when that purchase is completed, the refundable amount is £0, and a later renewal is not a first purchase. To use the guarantee, email info@planner.clinic (mailto:info@planner.clinic?subject=planner.clinic%20money-back%20guarantee) within that period, giving your account email and invoice reference. No reason is required and you can have used the service. Please do not send patient information. We will cancel the paid subscription and issue the eligible refund to the original payment method within 14 days of receiving your request; your payment provider may take additional time to display it. Paid access ends when we process the guarantee cancellation and the Free plan remains available. Outside this guarantee, ordinary cancellation does not entitle you to a partial-month or unused-capacity refund. This does not limit remedies for an incorrect charge, our breach or any refund or cancellation right required by law. Cancelling a subscription is separate from deleting an account: saved-plan retention and deletion continue as described in the Privacy Policy. 8. Patient information and privacy Use planner.clinic for generic treatment information and administrative planning. Keep clinical records and all patient-specific health information, including diagnoses, symptoms, medical histories, medications, allergies, clinical findings and outcomes, on your own clinical platforms. Do not enter that information into the service, including personal messages. Only enter a patient’s first name in the designated patient-name field; do not put patient names, dates of birth, contact details, photographs or other identifiers into server-bound fields. Patient first names and custom messages remain in the browser on the device being used and expire 48 hours after the draft’s last edit. Expired drafts are cleared while the app is open or when it is next opened. Generated PDFs are not retained by planner.clinic. Signing out does not itself clear a local draft. A pseudonymised copy of each final plan’s treatment structure is retained for one year for clinic-secured recall. Each recalled and regenerated plan creates a separate saved copy and code without extending the original’s retention. Generic descriptions and treatment information are not automatically health data, but linked records may remain personal data; classification depends on what the actual information reveals about an identifiable person. Your clinic is responsible for its lawful basis, patient privacy information, appropriate permissions and secure handling of exported documents and recall codes. The Clinic Data Processing Agreement (/dpa) governs personal data we process on your clinic’s behalf and forms part of these terms when expressly accepted by an authorised representative. It applies to Free, Pro and Team accounts and takes precedence on conflicting data-processing matters. It covers instructions, security, subprocessors, international processing, rights and breach assistance, and return or deletion. Our Privacy Policy (/privacy) explains our separate account and billing activities as well as clinic-related processing. A subscription cancellation does not itself request erasure; contact info@planner.clinic for support-assisted return or deletion. 9. Accounts, security and acceptable use Provide accurate information, protect credentials, restrict access to authorised team members and tell us promptly about suspected compromise. Do not attempt unauthorised access, interfere with the service, upload unlawful material, share logins to evade capacity limits or infringe others’ rights. You are responsible for your clinic’s users and for keeping downloaded documents secure. 10. Availability and ending access We will use reasonable care and skill in providing the service, but cannot guarantee uninterrupted or error-free availability. We may limit or suspend access where reasonably necessary for security, maintenance, legal compliance, non-payment or material misuse. Where practicable, we will explain the reason and give you a reasonable opportunity to resolve it, unless urgent action or a legal restriction prevents this. If we permanently discontinue a paid service, or end your paid access other than for your material breach or non-payment, we will give reasonable notice where possible and refund the unused prepaid period. This does not reduce other remedies you may have. Keep any records you need outside the service; it is not a clinical records archive. 11. Intellectual property and liability The software, branding and templates remain the property of their respective owners. You retain your rights in the clinic information you provide and permit us to process it as needed to deliver the service. Your subscription allows authorised use of the service and its generated documents for your clinic; it does not transfer ownership of the software. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot lawfully be excluded or limited. We are not responsible for clinical decisions, treatment outcomes, appointment availability or inaccurate information supplied by your clinic, except to the extent a loss is caused by our own breach or other responsibility imposed by law. 12. Changes to prices or terms We will give at least 30 days’ notice by email of a price increase or other material change to a paid subscription’s terms. A price increase takes effect no earlier than the first renewal after that notice period. You can cancel before it takes effect. We will not retrospectively change charges for an already-paid period or remove an earned refund right. Changes required urgently by law or to address a security risk may take effect sooner; we will explain them as soon as reasonably possible. The current version and a downloadable copy are linked above. 13. Contact, complaints and governing law Please send service or billing complaints to info@planner.clinic with enough account information for us to investigate, excluding patient details. These terms are governed by the laws of England and Wales and the courts of England and Wales have jurisdiction, subject to any mandatory rights or jurisdiction rules that apply to you. Provisions intended to survive the end of access continue to apply.
