Getting started

Create a clinic, join your team or confirm your account.

Who is planner.clinic for?

planner.clinic is for medical professionals who want to give patients a clear written treatment plan after a consultation. It brings recommendations, proposed timing and prices into a PDF the patient can keep, helping them understand their options and decide whether to go ahead.

The preloaded treatment library is built around aesthetic medicine. Every tier lets you adjust prices; Pro and Team also let you customise treatment names and descriptions. You make the recommendations; clinical assessment, treatment suitability, consent and patient records remain your clinic’s responsibility.

How do I set up a clinic?

Create an account and confirm your email address. You can then choose your clinic name and workspace address, add a contact email and choose the treatments for your library.

Starter gives you all preloaded treatments, editable prices and planner.clinic document branding. Upgrade to Pro or Team to create your own treatments, edit treatment wording and use your clinic logo and colours. Before creating the workspace, you’ll review your setup and the account agreements.

What should I have ready?

You’ll need your clinic name, a contact email and an idea of the treatments you offer. You’ll also choose a unique workspace address for your clinic.

Your website, booking link, telephone number and location details are optional during setup. With Pro or Team, you can also add your clinic logo and choose your document colours.

How do I join a clinic that already uses planner.clinic?

Ask a clinic administrator for an invitation link. Use the email address they invited when you create an account or log in, then open the invitation link to join the shared clinic workspace.

You do not need to create a separate clinic. Invitation links are valid for seven days; ask your administrator for a new one if yours has expired.

What can I personalise on Starter?

Starter includes all preloaded treatments with their standard names and descriptions. You can adjust prices, quantities and proposed timing, choose which treatments appear in the plan, and add a personal message for your patient.

To edit treatment names and descriptions or create your own treatments, choose Pro or Team. These features stay visible on Starter with an upgrade link.

What counts towards my free plan allowance?

A new plan counts towards your 10-plan allowance when you first successfully download its final PDF. Previews, test PDFs, corrections and repeat downloads of the same plan do not use another plan.

Your allowance resets each month. The workspace shows your usage and reset date, and lets you upgrade to Pro or Team for unlimited plans.

Can I include my clinic details on Starter?

Yes. Your clinic name, practitioner details, contact information and booking link can appear on Starter documents. These documents use planner.clinic branding.

Pro and Team add your own clinic logo and document colours, and remove planner.clinic document branding. Paid features stay visible in the workspace with a link to the plan that includes them.

What happens to my custom treatments if I return to Starter?

Your custom treatments and wording are kept for when you upgrade again. On Starter, plans use the preloaded treatment names and descriptions. Custom treatments stay visible but require Pro or Team to use in a new plan.

You can keep creating Starter plans with the preloaded treatments and adjust prices, quantities, timing and your personal patient message.

What if I work at more than one clinic?

Pro and Team include one clinic profile. Each extra clinic profile costs £5/month for the whole subscription, with its own branding, treatment library, prices, contact details and booking link.

Each practitioner is counted once across the subscription, even when they work at several clinics. Team’s two-practitioner minimum applies across the subscription.

Planning & sharing

Edit recommendations, share a patient PDF and return to a saved plan.

Can I make changes while I build a plan?

Yes. Every tier lets you adjust prices, quantities, proposed timing and display options. You can reorder or remove treatments and change the patient first name or personal message as you work. Pro and Team also let you edit treatment names and descriptions in the plan.

Changes to an individual plan are separate from the permanent clinic library. Administrators can adjust library prices on every tier. Editing library treatment names and descriptions or adding custom treatments requires Pro or Team.

Can we use our own treatments and wording?

Yes, with Pro or Team. Clinic administrators can edit treatment names and descriptions and add custom treatments to the library. Practitioners can also refine treatment wording in individual plans.

Starter includes all preloaded treatments with their standard names and descriptions. You can choose the treatments you offer, mark favourites, adjust prices, quantities and timing, and add a personal message to each patient’s plan.

How do I check and share the finished plan?

Open Preview plan to review the document, then download the final PDF when it is ready. Send it to your patient through your clinic’s usual process so they have a written copy of the recommendations, proposed timing and prices.

You can also manually upload the PDF to the patient’s clinical notes. planner.clinic does not connect to your clinical record system or upload documents for you.

The planner also offers a watermarked test PDF under More actions. A test download does not use a plan from your clinic’s allowance.

Can I come back to an unfinished plan?

Drafts save automatically in the browser on the device you are using once you add a patient first name or a treatment. Open Drafts to resume a plan before it expires.

Local drafts expire after 48 hours and do not sync between devices. Clearing the browser’s site data can remove them. Downloading a final PDF clears the corresponding local patient draft.

Can I edit a plan after downloading the PDF?

Yes. Use Recall plan and enter the 16-character plan code printed on the PDF. You must be logged in as a member of the same clinic.

The recalled plan opens as an editable copy. You’ll enter the patient’s first name and any personal message again, because these were not saved with the server copy. Downloading a new final PDF creates a new code; the original plan stays unchanged. Saved copies are available for one year unless deleted earlier.

Does a treatment plan book appointments or replace patient records?

No. Dates in a plan are proposed treatment timings. The planner does not create appointments, carry out a consultation or replace your clinic’s consent and clinical record-keeping processes.

You can add your clinic’s booking link to the patient document so patients have a way to arrange their next step.

Privacy & access

What stays on your device, what is stored and who can access it.

What patient information should I enter?

Only enter the patient’s first name. Do not add surnames, dates of birth, contact details, medical histories, photographs or other identifiers to plan fields.

The first name and plan-specific personal message remain in the browser on your device. They expire automatically after 48 hours and are not included in the saved server copy.

What does planner.clinic save?

The service stores account and clinic information needed to operate the workspace, along with service information such as plan-generation counts and security logs.

A pseudonymised copy of each final plan’s treatment structure, proposed dates, prices and display choices is retained for one year for clinic-secured recall. Patient names, personal messages and generated PDFs are not stored on the server. The saved treatment information is not considered anonymous.

Read the full privacy notice
Who can recall a saved plan?

Recall requires both a logged-in member of the same clinic and the plan code. The code alone does not give someone access to the plan.

Only a one-way hash of the code is stored. A clinic user can delete a saved copy earlier than its one-year expiry from the workspace.

What can administrators and practitioners change?

Practitioners can create and edit patient plans using their clinic’s treatment library. Administrators also manage the permanent treatment library, clinic-wide document settings and team invitations.

Your subscription and clinic role determine what you can change. Treatment names, descriptions and custom treatments require Pro or Team. Sharing a workspace with other practitioners requires Team.

Do I have to receive marketing emails?

No. Marketing emails are an optional choice when you register. You can change that choice in Email preferences or use the unsubscribe link in a marketing email. Essential account messages and payment receipts are separate.

Creating a clinic workspace requires agreement to the Terms and Conditions and Clinic Data Processing Agreement, and acknowledgement of the Privacy Policy. Marketing consent is not required.
